The exam is not a software catalog. It is a professional-practice item: evidence is organized, comparable over time, protected, and used.

A sticky note that says “struggling in reading” is not a record of performance. A secure file with dated running records, a graph of weekly oral-reading probes, and a short interpretation (“accuracy is rising; rate is flat, so instruction should target automaticity”) is. Technology that only files numbers has not finished 0002.7. You still have to interpret.

What “maintain records of performance” means in PreK–4

Young children show learning in more than bubble sheets. A complete classroom record system mixes products, processes, and numbers so you can talk to families and colleagues without relying on memory.

Rules of a usable record: it is dated, tied to a target, legible to another professional, and secure. “Always off-task” is a label. “During 12-minute writing on 3 of 4 days, needed a first-sentence frame before producing two connected ideas” is data.

PreK records often include photographs and transcriptions of play (a block structure, a child's exact words). Those are performance records when they are stored as part of the child's file, not as a public social-media album. Grade 3–4 records more often include benchmark printouts and classroom probes. Keep both the printout and a sentence about what you will teach next.

FERPA basics for digital gradebooks

The Family Educational Rights and Privacy Act (FERPA) protects education records — records directly related to a student and maintained by the school or a party acting for the school. A digital gradebook, a shared drive of scanned tests, a progress-monitoring platform, and many student information system (SIS) screens are education records. They contain personally identifiable information (PII): names, student numbers, scores, disability or English-learner status, and comments that identify the child.

Operational rules that PECT can test without turning this into the later confidentiality chapter:

  • Parents (and eligible students) have a right to inspect and review education records. Do not hide the gradebook behind “the computer will not let me.” Follow district procedure for access.
  • School officials may access records only with a legitimate educational interest — a special educator co-teaching the child, not a neighbor who happens to work in the building.
  • Need-to-know is narrower than curiosity. A specialist who supports the child may need the graph. The whole staff listserv does not.
  • Directory information (sometimes name, grade, photo under district policy) is not a license to publish grades, progress-monitoring scores, or disability/EL status.

PECT does not require you to name a commercial SIS. Wrong answers that say “the teacher must purchase [Product X]” are traps. Right answers say: use district-approved tools to enter, sort, graph, and interpret.

Think in three verbs:

  1. Collect. Enter scores soon after the probe, with the date and the measure. Tablets can capture oral reading or observation notes. Document cameras and audio can store a child's explanation. Collection only stores; it does not decide.
  2. Analyze. Sort by standard, by student, by group (for example, English learners, students with disabilities, students who received a six-week phonics intervention). Look for classwide gaps versus a single-child gap. A spreadsheet filter or a platform report is analysis only if a human asks a question: “Who has not yet conserved number with objects? Who can decode CVC words but not blends?”
  3. Interpret. Say what the pattern means for tomorrow. “Five children missed the same place-value item; reteach with ten-frames.” “This child's trend is below the aim line; change the intervention and keep the same type of probe.” Interpretation is the professional act the exam is scoring.

Exam trap: “The software generated a color, so instruction is finished.” Colors are displays. Teachers still interpret. Another trap: photographing data as a substitute for a maintained record — a camera roll is not a secure, organized performance file.

Progress-monitoring graphs you must be able to read

Progress monitoring (often curriculum-based measurement, CBM-style probes) is how PreK–4 teachers show growth toward a goal, not just a one-time score. Chapter 4 covers why multiple indicators matter. 0002.7 covers the graph as a record and a thinking tool.

Know the parts:

  • Baseline: starting performance on a comparable probe.
  • Goal: a realistic, time-bound target (for example, a winter oral-reading goal). Do not invent a statewide number the Commonwealth has not published; the exam cares that a goal exists and is based on the measure you are using.
  • Aim line (goal line): the straight line from baseline to the goal across the weeks of instruction. It is the expected path, not the child's actual path.
  • Data points: repeated comparable probes (same kind of task, similar difficulty rules, regular schedule — often weekly or biweekly in intervention). Randomly switching measures makes the graph uninterpretable.
  • Trend line: the line that best fits the child's actual points once you have a small series of them. Practice tools often emphasize that a trend becomes meaningful after several points (commonly discussed around six in CBM training materials). Treat that as professional practice, not a Pennsylvania statute you must quote.

Decision rule: Compare trend to aim. If the trend is at or above the aim line, the current plan is likely producing enough growth — keep teaching and keep graphing. If the trend is flat or well below the aim line, change instruction (time, grouping, strategy, materials), then continue the same type of probe so the next points are comparable. Do not change the measure every week to chase a prettier graph. Do not conclude disability from one flat month of a single probe. Do not wait until the summative test to notice the trend.

PreK snapshot: A teacher graphs how many objects a child counts accurately each week during a counting collection. The aim line rises toward stable counting of a set of ten. Points bounce (young children do). After a stretch of sessions, the trend is still stuck at 4. The teacher changes the instructional routine (smaller sets, gesture supports, more adult language) rather than filing the same lesson.

Grade 2 snapshot: Weekly oral-reading probes. Aim line climbs. Trend is below and flat. The teacher does not write “lazy” in the gradebook. The teacher interprets: accuracy errors are mostly blends; rate cannot rise until decoding is taught. The graph is the record; the analysis names the next skill.

Grade 4 snapshot: A math concepts probe every other week. Technology plots the points. The teacher still writes a two-sentence interpretation in the system: what grew, what did not, what changes in small-group math.

Putting records, privacy, and graphs together

A Grade 2 teacher who meets 0002.7 can open a district-approved platform, show a parent the child's graph during a conference (section 5.3), let the special educator with a legitimate interest see the same graph, and refuse to forward the class export to a personal Gmail “so I can work at the coffee shop.” The records persist across a substitute week. The interpretation is updated when the trend changes.

Exam traps for 0002.7

  • Product worship. No named commercial SIS is a PECT requirement.
  • Collect but do not interpret. Storage is not analysis.
  • Public data walls with names and percentiles. Privacy failure.
  • One probe = a graph. You need repeated comparable points and an aim.
  • Flat trend = wait. Flat and below the aim line means change instruction.
  • Delete everything weekly “for privacy.” You must maintain records, not erase the evidence trail.

Write one working sentence in the file: “On [date], [child] scored [measure]; trend versus aim is ___; next instruction is ___.” If the technology cannot support that sentence securely, you are using it as a gadget, not as an assessment record system.
