11.3 Navigating and Configuring the Position Organization Chart

Quick Answer: The Position Org Chart shows positions in a hierarchy with their incumbents, open (To Be Hired) positions, and status icons. Because positions are effective-dated, you can view the chart for past or future dates with the right permission. Opening the Position Org Chart

What each user sees depends on permissions and configuration.

Display Options

  1. Search By: Positions (search by name, ID, or other searchable fields) or People (first name, last name, username).
  2. Date: defaults to today. Users with Change Display Date of Position Organization Chart can choose another date. A new login session always starts at today. Switching Company Info tabs keeps the chosen date. If the last viewed position no longer exists or is not permitted, your own position loads.
  3. Zoom in and out.
  4. Display Options: child positions, matrix positions, show inactive positions.
  5. Create Position, Add New Employee, Insights (People Analytics content configured in Manage Insights), Export, and show or hide top navigation.
  6. Icons: To-Be-Hired (driven by the TBH status adaptation settings), understaffing, matrix relationships (dotted lines), right to return, incumbents on global assignment, and job requisitions.

The Position Card

Selecting a position opens the side panel. Position Key Information (code, title, staffing, whether multiple incumbents are allowed, status) shows by default. The displayed fields and their order are set in Org Chart Configuration > Position Organization Chart. Expandable sections:

Position Card Actions

  1. Show Details: the full record. Edit inserts a new record, or go to Manage Positions to correct or delete. A Configurable UI for Position can be shown here (Section 11.4).
  2. Show Incumbent History: everyone who held, or will hold, the position in a date range.
  3. Create Lower-Level Position: the new position is placed below the current one.
  4. Create Same-Level Position: a peer with the same parent position. For both, a business rule can decide which fields are copied (Section 13.1).
  5. Copy Position: up to 100 positions with the same parent and field values, optionally To Be Hired. Codes are system-generated (source code + _Copy + an alphanumeric code) or follow the code-generation rule's sequence.
  6. Create Job Requisition: with the Recruiting integration (Section 13.4).
  7. Add New Employee to This Position: starts the hire wizard with Hire Date (today or the chart date), Company, and Position already filled in and read-only. The supervisor and propagated fields follow from the position.

Conditions for "Add New Employee to This Position"

  • If Position Management Settings > UI Customizing > Allow Selection of only Positions that have Status "To Be Hired"… is Yes, the position must be To Be Hired.
  • The Company field must be configured on the position object and have a value.

Configuring the Display

In Org Chart Configuration, select which fields appear on the position tile and card, set their order with the arrows, enable and order side-panel sections such as Position History and Hierarchy Details, and choose whether incumbent photos show.

Worked Example (THR79)

  • Search Logistics Manager (MGR_LSTS) and open Incumbent Details to find the incumbent's start date (Kim Nelson, since July 1, 2012).
  • Choose Copy Position with 1 copy and Set to be Hired selected. The new position appears at the same level under the same supervisor (Jeff Bowman).
