9.3 SharePoint, Teams, and Exchange Admin Center Reports
Key Takeaways
- SharePoint, Teams, and Exchange each keep a specialist admin center whose reports go deeper than the tenant-wide Microsoft 365 Reports > Usage dashboard.
- The SharePoint admin center shows organization storage on Active sites, per-site files and storage on the Activity tab, and Reports such as Data access governance for sharing and oversharing.
- The Teams admin center Analytics & reports experience is officially separate from the Teams activity reports in the Microsoft 365 admin center and adds device mix, app usage, and PSTN calling reports.
- The Exchange admin center Reports > Mail flow surface covers inbound and outbound trends, non-delivery, transport rules, queued messages, and related operational mail issues.
- Pick the admin center from the question: tenant adoption stays in Microsoft 365 usage reports; site storage or oversharing, Teams devices or PSTN minutes, and failed messages move to SharePoint, Teams, or Exchange.
Quick Answer: Reports > Usage in the Microsoft 365 admin center is the tenant-wide adoption picture. For this site’s storage or sharing, open the SharePoint admin center. For Teams devices, apps, or PSTN calling minutes, open the Teams admin center under Analytics & reports. For why mail failed or how inbound versus outbound is trending, open the Exchange admin center under Reports > Mail flow. Official Teams documentation states those Teams admin center reports are separate from the Teams activity reports in the Microsoft 365 admin center.
The April 30, 2025 outline asks you to describe the reports available in other admin centers such as SharePoint, Teams, and Exchange. The skill is a routing problem. Section 9.1 already gave you the cross-workload usage dashboard. This section is everything that dashboard is not.
You launch the specialist centers from the Microsoft 365 admin center Admin centers list, or you go directly to the service URL. The available centers depend on the plan and the admin’s role. A SharePoint Administrator lives in the SharePoint admin center; they are not automatically a Teams Phone analyst.
SharePoint admin center: sites, storage, and sharing
The SharePoint admin center is the console for SharePoint Online (and, from the same family of settings, much of OneDrive administration). The Active sites page lists communication sites, group-connected team sites, and channel sites you can sort, filter, and search. In the upper right, official storage documentation shows storage used versus total storage for the subscription. That bar is the tenant’s SharePoint pool — the number you check when someone asks “are we about to run out of SharePoint storage?” Usage on that bar can lag 24–48 hours.
Select a site and open its details. The Activity tab shows files stored and storage usage for that site (not available in every government cloud). The Membership tab is who owns and uses the site, which is administration, not a usage chart. Storage limits can be automatic (SharePoint doles out from the tenant pool) or manual per site — a management setting you should recognize as why a site might be full while the tenant still has space.
Under Reports, SharePoint adds governance views that the Microsoft 365 usage dashboard does not try to be. Data access governance reports help administrators find oversharing: site permissions snapshots, sharing-link activity (Anyone, People in the organization, Specific people), and related sensitivity-label views. Those reports exist so you can see which sites are exposed, not merely how many files were edited last month. Other SharePoint admin reports (for organizations that use them) include Agent Insights and change-history style reports. You do not need every report title. You need the idea: this admin center is where site-level storage and sharing governance live.
Microsoft even warns that Active sites and the SharePoint site usage report in the Microsoft 365 admin center will not always list the same sites, because the usage report includes templates and URLs that Active sites hides (search, personal OneDrive, some admin templates). If the stem says “the two lists do not match,” that is expected, not a broken tenant.
Use SharePoint admin reports when the question names a site, storage quota, sharing links, or oversharing. Use Microsoft 365 SharePoint activity / site usage / storage reports when the question is tenant-wide file adoption.
Teams admin center: usage, devices, and PSTN
The Teams admin center (commonly admin.teams.microsoft.com) has Analytics & reports. Official Learn language is the exam sentence: the reports in the Microsoft Teams admin center are separate from the activity reports for Teams that are part of the Microsoft 365 reports in the Microsoft 365 admin center. Both can mention “Teams user activity.” They are not the same page.
You typically need a Teams Administrator (or related Teams role). Global Reader can see tenant-level aggregates without per-user or per-team detail. The same org-wide privacy switch that hides names in Microsoft 365 usage reports can anonymize Teams admin center user, device, and usage reports.
Reports you should be able to place, not configure:
| Teams admin center report | What it measures | When MS-900 wants it |
|---|---|---|
| Teams usage | Active users, channels, messages, guests, shared-channel activity | How busy teams and channels are |
| User activity | Per-user channel and chat messages, 1:1 calls, meetings organized or joined, last activity | Who is actually using Teams |
| Device usage | Windows, Mac, iOS, Android | “Are people on phones or PCs?” |
| App usage | Which Teams apps are installed or active | Collaborative-app adoption |
| PSTN usage (Calling Plans or Direct Routing) | Call type, numbers, duration, charges or SIP failure detail | Phone-system operations |
| PSTN minute pools | Minutes available versus used by country and license | “Are we burning calling minutes?” |
| PSTN blocked users | Who cannot call and why | Calling-plan blocks |
Device usage and PSTN reports are the usual reason the exam sends you here instead of Microsoft 365 Reports > Usage. The Microsoft 365 admin center does include Teams user, device, and team activity reports — high-level adoption. The Teams admin center is where a Teams Administrator runs usage reports for a date range, exports calling detail, and investigates Phone System. If the stem includes Calling Plans, Direct Routing, Session Border Controller, or minute pools, you are in the Teams admin center, not Message center and not SharePoint.
Other Teams reports exist (events, live events, Virtual Appointments, Walkie Talkie, client usage). Know they live under the same Analytics & reports umbrella. Do not memorize every column.
Exchange admin center: mail flow, not just mailbox size
The Exchange admin center (admin.exchange.microsoft.com) is the specialist workspace for Exchange Online. Mailbox-level usage — how full mailboxes are, how many are near quota — also appears in the Microsoft 365 admin center as Mailbox usage. That report is an adoption and capacity summary. The Exchange admin center is where you go for mail flow operations.
Official Exchange documentation: open Reports > Mail flow (or the mail-flow reports URL in the new EAC) to establish baselines and find trends that explain mail problems. Representative reports include:
- Inbound messages and outbound messages — volume and trend, the “how much mail is flowing?” view.
- Non-delivery details — messages that failed, the “why did this bounce?” view.
- Exchange transport rule report — how often mail-flow (transport) rules matched.
- Queued messages — mail sitting instead of delivering.
- SMTP AUTH clients — which clients send using SMTP AUTH.
- Auto forwarded messages, mailboxes exceeding receiving limits, reply-all storm protection, and related operational cards.
You need an Exchange-related role (Exchange Administrator, Organization Management, View-Only Recipients, and certain security or compliance roles). Mail-flow reports are not in GCC High or DoD — a cloud-availability footnote, not the main scoring point.
Message trace (find what happened to a specific message) also lives in the Exchange admin center. It is operational investigation, not the Microsoft 365 Email activity chart that counts send/receive/read for adoption.
Use the Exchange admin center when the stem says mail flow, NDR, transport rule, queue, SMTP AUTH, or message trace. Use Microsoft 365 Email activity / Email apps / Mailbox usage when the stem says are people using email or who is near mailbox quota across the tenant.
Side-by-side: which center for which question
| Question you were asked | Go here | Do not go here |
|---|---|---|
| How many people used email, Teams, or SharePoint last month? | Microsoft 365 admin center Reports > Usage | User portal My Account |
| How full is the tenant SharePoint pool, and how full is this site? | SharePoint admin center Active sites (and the site Activity tab) | Exchange mail flow |
| Which sites created the most Anyone links? | SharePoint admin center Data access governance | Teams PSTN usage |
| Windows versus iPhone Teams clients; PSTN minutes | Teams admin center Analytics & reports | Message center |
| Inbound versus outbound volume; non-delivery | Exchange admin center Reports > Mail flow | SharePoint Active sites |
| Unused Microsoft 365 licenses | Microsoft 365 Billing plus Usage | My Apps portal |
Realistic exam-style scenarios
Storage crisis. The communications site for HR is refusing uploads. Open the SharePoint admin center, select that site, and read the Activity storage figures and the site’s quota. Then glance at the tenant storage bar on Active sites. Microsoft 365 SharePoint storage usage can confirm the trend, but the per-site knob and the Active sites pool live in SharePoint admin.
Oversharing. Security asks which sites minted the most Anyone links in the last month. That is Data access governance in the SharePoint admin center, not Email activity and not the user portal.
Client mix. Training wants to know whether field staff use Teams on Android more than Windows. A Teams Administrator runs Device usage under Analytics & reports. A Microsoft 365 usage Teams device report can hint at the same story; the exam’s “Teams admin center reports” bullet is pointing at this specialist run.
Phone minutes. The company has Teams Phone Calling Plans and finance wants minutes used versus remaining. That is PSTN minute pools (and PSTN usage) in the Teams admin center, not Exchange mail flow.
Broken invoice mail. Partners say order confirmations never arrive. An Exchange Administrator opens Reports > Mail flow and non-delivery details, then message trace. Mailbox usage will not explain a transport failure.
Adoption still matters. Leadership still wants “are people using SharePoint at all?” That stays in Microsoft 365 Reports > Usage. Specialist centers do not replace that dashboard; they narrow it.
Exam traps
- Same words, different doors. “Teams user activity” exists in both the Microsoft 365 admin center and the Teams admin center. Official docs call the Teams admin center set separate. If the stem adds PSTN, devices as a run-a-report action, or Analytics & reports, go to Teams admin.
- Mailbox usage ≠ mail flow. Size and quota are usage; NDR and queues are Exchange Reports > Mail flow.
- SharePoint usage ≠ Active sites storage. Tenant file adoption is Microsoft 365 usage; this site’s quota and sharing governance are SharePoint admin.
- Do not send these jobs to the user portal. Employees cannot run PSTN or mail-flow reports from office.com.
- Do not send them to Message center. Message center is change announcements, not operational mail or PSTN detail.
- Role still matters. SharePoint Administrator, Teams Administrator, and Exchange Administrator match the center you open.

Partners report that invoices sent from a Microsoft 365 mailbox never arrive, and the admin needs inbound versus outbound trends plus non-delivery detail. Which report surface is built for that operational mail-flow question?
A Teams Administrator must show how many people use Teams on Windows versus iOS and how many Calling Plan minutes the organization has consumed this month. Where are those specialist reports run?
You need storage used versus allocated for one HR communication site, plus a view of sites that recently created the most sharing links. Which admin center is the right home?
