Chart Layouts, Styles, and Alternative Text

Key Takeaways

  • Quick Layout applies a preset arrangement of chart elements (titles, legend, labels, and related structure) in one step
  • Chart Styles apply coordinated colors and visual formatting from the Chart Design gallery without rebuilding the chart
  • Change Colors offers palette variants related to styles—use the named style/color path the project describes
  • Add alternative text (alt text) via Format → Alt Text or the chart's accessibility options so screen readers can describe the chart
  • On MO-210, match the requested layout/style and enter the exact alt text string when one is provided

Why layouts, styles, and alt text matter on MO-210

Domain 5 also covers Format charts: Apply chart layouts, Apply chart styles, and Add alternative text to charts for accessibility. These skills polish a chart that already has the correct type and data. Projects may ask only for a style, only for alt text, or for a combination—read each bullet and apply exactly what is named.

Sample wording: "Apply Quick Layout 3", "Apply Style 5 to the chart", "Apply a chart style from the Chart Styles gallery", "Change the chart colors to Monochromatic Palette 2", "Add the alternative text Monthly units by region", or "Set alt text describing the pie chart of department share." Ribbon homes: Chart Design → Quick Layout, Chart Styles, Change Colors, and Format → Alt Text (or right-click chart → Edit Alt Text, depending on build).

Quick Layout vs Chart Style (do not confuse them)

FeatureWhat it changesTypical exam cue
Quick LayoutPreset combination of elements (where title/legend/labels/data table appear)"Apply Quick Layout #" or "Apply Layout #"
Chart StylesPreset look: outlines, fills, effects, often default colors for that style"Apply Style #" or "Apply a chart style"
Change ColorsColor palette for the chart's series"Change colors" / named palette

Quick Layout can reset or rearrange elements. If you carefully set Outside End labels and a bottom legend, then apply a Quick Layout that omits labels, you may undo prior work. On multi-step projects, apply layout first, then fine-tune elements, then apply style/colors, then alt text—unless the project order differs. If a later Quick Layout wipes a required title, re-add the title text before finishing.

Apply a chart layout (Quick Layout)

  1. Select the chart.
  2. Chart Design → Quick Layout.
  3. Click the thumbnail that matches the project's number or description (Layout 1, Layout 2, …).

Layouts differ by chart type—pie layouts emphasize labels/leader lines; column layouts emphasize axes/legends/data tables. Hover thumbnails to preview. If the project says Quick Layout 5 and your gallery numbering is visible, pick that thumbnail; do not substitute a random style from the Styles gallery.

After applying a layout, verify still-required custom title text. Layouts often restore a placeholder title or a generic arrangement—retype the specified title if it was cleared.

Apply chart styles

  1. Select the chart.
  2. Chart Design → open the Chart Styles gallery (More button for the full set).
  3. Click Style 1, Style 2, … as named, or the style that matches a written description if only a visual cue is given.

Styles change the chart's formatting theme (for example softer fills, darker backgrounds, stronger outlines). They are not the same as worksheet Cell Styles. They also differ from Change Chart Type. If Style 4 is required, applying Style 8 fails even if you like the colors better.

Change Colors

Change Colors sits beside Chart Styles on Chart Design. Use it when the task names a color family (Colorful, Monochromatic) or palette index. Applying a style and then changing colors is normal. If the project only names a Style number, you usually do not also invent a color change.

Alternative text for accessibility

Alt text is a textual description stored with the chart object for screen readers and accessibility checkers. MOS Associate explicitly includes adding alt text to charts.

How to add it

  1. Select the chart (whole chart, not a single bar).
  2. Open Alt Text using one of these Associate-friendly paths:
    • Format tab → Alt Text (Accessibility group in current Microsoft 365 builds), or
    • Right-click the chart → Edit Alt Text, or
    • Format Chart Area pane → Accessibility / Alt Text fields when available.
  3. In the Alt Text pane, enter the Description (and Title if the project distinguishes them—many tasks give a single string for the description).
  4. Use the exact wording from the project when a sentence or phrase is provided.
  5. Close the pane; the chart appearance may not change visually—alt text is metadata.

What good exam alt text looks like

  • Describes what the chart shows: "Bar chart comparing 2026 units sold by region" rather than "Chart1" or "Image."
  • Matches the project string character-for-character when supplied.
  • Does not rely on color alone ("the green bar") if the descriptor gave a neutral description—follow the given text.

Mark as decorative only if a task says the object is decorative (rare for exam charts that convey data). Data charts should have real descriptions.

Accessibility Checker vs typing alt text

Review → Check Accessibility may flag missing alt text. On MO-210, you still need to enter the text the project specifies; merely opening the Accessibility pane without saving description text is not enough. Fixing a checker warning by adding the required string satisfies both accessibility practice and the exam bullet.

Ordering skills on a full Domain 5 project

A realistic stacked task:

  1. Create clustered column chart from A3:D11.
  2. Switch Row/Column if orientation is wrong.
  3. Add any missing series via Select Data.
  4. Apply Quick Layout 2.
  5. Set title to Regional Pipeline and legend to Bottom if the layout did not finish those requirements.
  6. Apply Style 6 / requested colors.
  7. Add alt text: Column chart of pipeline value by region and quarter.

Skipping alt text because the chart "looks done" is a common miss when the descriptor includes accessibility.

Layouts/styles on chart sheets

Quick Layout, Chart Styles, Change Colors, and Alt Text work on charts whether embedded or on a chart sheet. Select the chart on the chart sheet first so Chart Design appears. Alt text still belongs to the chart object, not to the sheet tab name.

Common exam pitfalls

  • Applying a Chart Style when the task said Quick Layout (or the reverse).
  • Picking the wrong Style or Layout number from the gallery.
  • Applying a layout after fine-tuning elements and forgetting to restore a required title or label position.
  • Entering alt text on a worksheet cell instead of the chart's Alt Text pane.
  • Selecting one series shape and adding alt text only to that shape when the project meant the whole chart—click the chart's outer border first.
  • Confusing Shape Styles on the Format tab (for some objects) with Chart Styles on Chart Design.
  • Assuming a style change also sets alt text—it does not.
  • Leaving the Alt Text description blank while filling only an optional title field when the project pasted one paragraph meant for the description.

Practice sequence

  1. Create any column chart; apply Quick Layout 1 through 4 and note how legend/labels move.
  2. Reset by reapplying a layout, then apply Chart Styles 1, 5, and 10; use Change Colors on one monochromatic palette.
  3. Set a precise chart title, then apply a layout that alters titles; practice restoring the title string.
  4. Open Alt Text; enter a full-sentence description; close and reopen to confirm it saved.
  5. Move the chart to a chart sheet and confirm Style and Alt Text still apply.

Master Quick Layout, Chart Styles / Change Colors, and Alt Text entry, and you cover formatting charts with layouts, styles, and alternative text for MO-210 Domain 5.
