3.4 Reading Workplace Emails, Notices & Short Reports

Key Takeaways

  • Identify who wrote a message, why it was sent, and which action the recipient is asked to take.

  • A revised arrangement replaces an earlier one only when the message says so.

  • Distinguish confirmed events from estimates, requests, offers, and conditions.

  • Check pronoun reference, time expressions, and connectors before choosing a paraphrase.

Move from Individual Sentences to a Message

Bright describes the general test in terms of written and listening comprehension, with grammar, vocabulary, and syntax in the written component. These original reading exercises apply those skills to workplace messages. They are extended teaching examples, not a claim that the official test uses this precise passage length or question format.

A useful reading routine begins with three questions: Who is communicating? Why are they writing? What should happen next? A message may contain background information, an old arrangement, and a new request. Recognizing one word from the question is insufficient if you attach it to the wrong part of the message.

Email: Track What Changed

Subject: Revised delivery appointment

Hello Maya,

We previously confirmed delivery for Tuesday at 09:00. Because our driver is unavailable that morning, we can now offer Wednesday at 11:00. Please reply by 15:00 today to confirm whether someone will be at reception. If this is inconvenient, we will arrange another appointment. The number of boxes and the quoted delivery charge remain unchanged.

Alex, Customer Service

The writer’s purpose is to propose a changed appointment and request confirmation. Tuesday at 09:00 is the previous arrangement. Wednesday at 11:00 is an offer, not necessarily a confirmed appointment. The reply deadline is 15:00 today. These three times answer different questions.

DetailStatusSafe interpretation
Tuesday, 09:00Earlier confirmationIt is the old appointment.
Wednesday, 11:00Newly offered slotMaya is asked to confirm availability.
15:00 todayReply deadlineIt is not a delivery time.
Box quantityExplicitly unchangedNo quantity increase is stated.
Delivery chargeExplicitly unchangedNo additional charge is announced.

An option saying The delivery has definitely been completed contradicts the future proposal. An option saying Maya must pay extra for Wednesday invents a fee and contradicts the statement that the charge remains unchanged. An option saying The company wants Maya to confirm a new delivery slot captures the purpose without overstating certainty.

Notices: Scope, Exceptions, and Prerequisites

Read another original example:

The west entrance will be closed for repairs on Friday from 08:00 until 12:00. Staff may use the east entrance with their usual badges. Visitors must report to the temporary reception desk beside the east entrance. Deliveries requiring access to the loading bay are unaffected.

The closure applies to one entrance within one interval. It does not close the whole building or cancel all deliveries. The notice separates staff, visitors, and loading-bay deliveries. A visitor cannot assume that the staff badge instruction applies to them. Conversely, a supplier using the loading bay should not infer a delivery cancellation from the word closed.

Words such as only, except, unless, provided that, and unaffected deserve careful attention because they limit the scope of an instruction. Only visitors need to register differs from Visitors need to register only at the east desk. The first limits who registers; the second limits the registration location. Read the words around a restriction, not merely the restriction word itself.

Short Reports: Evidence and Estimates

Original report excerpt:

Customer enquiries rose from 80 in May to 100 in June. The team answered 90 of June’s enquiries within one working day. The manager expects the new booking form to reduce repeat enquiries, but the form will not launch until July.

The numerical increase is 20 enquiries. As a percentage of May’s 80, the increase is 20 divided by 80, or 25%. The share of June’s enquiries answered within one day is 90 divided by 100, or 90%. These are different calculations with different denominators. Read the base quantity before comparing percentages.

The expected effect of the booking form remains a prediction. The report does not establish that the form caused June’s increase, since it had not launched. It also does not say whether the other ten enquiries received no answer at all; it says they were not answered within one working day. An answer that adds never would exceed the evidence.

Grammar Helps Recover Meaning

Pronouns, tense, and connectors create relationships across sentences. In The customer sent the revised invoice. It includes the corrected address, it naturally refers to the invoice. In We had approved the order before the supplier changed the price, the past perfect places approval earlier than the price change. In Although the price increased, we accepted the offer, although marks an unexpected contrast, not a cause.

Likewise, a negative phrase can change the conclusion. We have not yet confirmed the booking leaves confirmation pending. It does not mean the booking was canceled. No additional charge rules out an extra fee; it does not necessarily mean the entire service is free. Read the full noun phrase that the negative modifies.

Check a Paraphrase Against the Message

A correct paraphrase preserves person, action, time, quantity, and certainty. It can reuse the original words or choose ordinary synonyms. Neither repetition nor a more formal style proves correctness. Replace may with will, some with all, or by Friday with after Friday, and an otherwise similar answer can become wrong.

For practice, read a short message once for purpose and again for the specific requested detail. Explain why each rejected option is contradicted or unsupported. If you need outside business knowledge to make an option true, reconsider it. Comprehension rests on the text supplied, even when another arrangement would be plausible in real life.
