8.5 Accounts Payable Analysis and Reporting: Landing Pages, Dashboards, Aging Periods and Key Reports

Key Takeaways

  • Aging periods are defined on the Create Aging Periods page, and the Payables Invoice Aging Report shows invoices due in the four time periods you define.

  • Before running aging reports, create the aging periods and run Apply Missing Conversion Rates; foreign-currency invoices without rates show no amounts.

  • The Supplier Balance Aging Report only includes invoices that are accounted and transferred to the general ledger, so it agrees with the Payables Trial Balance.

  • The Payables Key Indicators Report needs a General Purpose Payables calendar and compares current activity, the state of the application and invoice entry by user.

  • The Payables Cash Requirement Report forecasts cash needed for a payment process request template, using its pay-through date and payment date.

Landing pages and the Payables Dashboard

The Invoices landing page shows infotiles for the work queue. The Scanned tile counts incomplete and not-validated scanned invoices grouped by age (0–7, 8–14 and 15+ days), and the Recent tile counts validated invoices. From the page you can:

  • Release holds;
  • run Create Recurring Invoices;
  • open Correct Import Errors;
  • run validation and other common actions.

The Payments landing page shows payment process requests and files needing attention. Its Requiring Attention tab includes requests waiting for payment approval. It also lists Supplier Sites on Payment Hold.

The Payables Dashboard gives a quick view of the AP position and pending work:

  • holds you can release;
  • stop payment requests, with a Void Payment button in that section;
  • for reconciliation, the Business Unit filter applies to the Payables column and the Account filter to the Accounting column.

For self-service analysis, Oracle Transactional Business Intelligence (OTBI) provides real-time subject areas. Examples Oracle uses in its reports:

  • Payables Invoices – Transactions Real Time;
  • Payables Invoices – Trial Balance Real Time;
  • Subledger Accounting – Payables Summary Reconciliation Real Time, behind the Payables to Ledger Reconciliation report.

Aging periods

Aging reports group open installments into aging buckets. You define them on the Create Aging Periods page:

  • an aging period name, chosen as a report parameter;
  • the time periods (buckets), each with a day range relative to the installment due date.

The Payables Invoice Aging Report shows invoices due within the four time periods defined for the aging period. A typical setup has buckets for current, 1–30, 31–60 and over 60 days past due.

Before running aging reports:

  1. Create the aging periods on Create Aging Periods.
  2. Run Apply Missing Conversion Rates. Foreign-currency invoices without rates won't show amounts. With multiple currencies, the report converts to the ledger currency.

Oracle notes that the report only covers suppliers where you hold the primary liability. Run for a third-party (remit-to) party, it returns no data.

Supplier Balance Aging Report

The Supplier Balance Aging Report also uses the aging periods, but it works as of any date and only includes invoices accounted and transferred to the general ledger. Its balances therefore match the trial balance. Run Create Accounting with transfer first. Its Unallocated Amount column flags data to investigate:

  • amounts outside the defined buckets;
  • invoice and installment outstanding amounts with opposite signs;
  • payments larger than the invoice, for example when distributions have different accounting dates and the invoice was paid between them.

Agentic analysis: Payables Period Close Workspace

Oracle's AI feature list shows a Payables Period Close Workspace as an agentic application in update 26D. It is part of Oracle's direction to bring close exceptions, reconciliation and AI-driven guidance into one workspace. Treat it as an extension of the same reports and processes. Oracle's close checklist (section 8.3) still defines what must be complete before a period can close.

How analysis feeds the close

A practical weekly rhythm:

  1. Use landing-page tiles and the Dashboard to clear holds and incomplete scanned invoices.
  2. Run the Cash Requirement report against the next PPR template.
  3. At month end, run Invoice Aging and Supplier Balance Aging for the liability profile.
  4. Then complete the close and reconciliation in sections 8.2 and 8.3.
