11.1 SAP S/4HANA Cloud Private Edition: Characteristics, Transition Paths, and the Implementation Team

Key Takeaways

  • SAP S/4HANA Cloud Private Edition is the SAP S/4HANA on-premise software hosted in SAP HANA Enterprise Cloud, with the same functional scope and release cycle.

  • An SAP analysis of about 10,000 SAP S/4HANA projects found 50% new implementations, 48% system conversions, and 2% selective data transitions.

  • A new implementation migrates master data and open items with the SAP S/4HANA Migration Cockpit; completed transactional data is not migrated.

  • A system conversion uses the Software Update Manager, whose Database Migration Option combines database migration, update, and data conversion in one step.

  • SAP runs infrastructure and technical operations, partners deliver application services, and user permissions remain a customer-only task.

SAP S/4HANA Cloud Private Edition: Characteristics, Transition Paths, and the Implementation Team

The last course in the C_TS462 learning journey, Implementing SAP S/4HANA Cloud Private Edition (S4C03, 730 minutes), describes the project in which a sales consultant works. It is not specific to Sales, but the system-based assessment runs in an SAP S/4HANA Cloud Private Edition system, and the course explains why that system looks and behaves the way it does. This chapter covers the S4C03 units that chapter 10 does not: the product and transition paths, landscapes and provisioning, SAP Cloud ALM, identity and access, fit-to-standard workshops, extensibility, integration, data migration, and testing.

What SAP S/4HANA Cloud Private Edition Is

The course describes SAP S/4HANA Cloud Private Edition as a tailored-to-fit cloud ERP. Its key characteristics:

  • It is the SAP S/4HANA on-premise software hosted in SAP's private cloud, SAP HANA Enterprise Cloud (HEC). Functional scope and industry coverage are therefore the same as on premise.
  • Customers reach it through a system conversion of an existing SAP ERP or SAP S/4HANA system on a compatible release, or through a new implementation in a clean landscape.
  • A library of ready-to-run business processes (SAP Best Practices) gives a baseline, while the customization options support industry requirements. The course calls it the best fit for mid-size to large customers with industry-specific needs or many customization requirements.
  • It can be combined with SAP S/4HANA Cloud Public Edition in a two-tier ERP structure (section 1.1).
  • It follows the on-premise release cycle and must be upgraded at least once every seven years to stay in mainstream maintenance (section 11.2).

Who Does What

Service AreaDelivered ByExamples from the Course
Standard services (included)SAPInfrastructure and operating system management, SAP HANA database operations, health checks and capacity management, technical SAP Basis operations
Cloud application servicesPartners or SAPInitial SAP Fiori launchpad configuration, security notes, certificate handling, SAP Best Practices activation
Application management and implementation (optional)Partners or SAPFunctional application management, incident and change management, implementation support
Excluded tasksCustomer onlyBusiness strategy and process selection, user permissions and maintenance, data processing, compliance with data privacy rules

SAP maintains the infrastructure and the technical operations. Application consulting is delivered by partners under a separate contract; SAP can do it too, but the strategy is partners first. Reactive cloud application service requests are submitted through SAP for Me.

Solution Scope: Administrative and Operational ERP

The course frames scope with business process stories:

  • Finance-led administrative ERP covers what every company needs: procure to pay, order to cash, and record to report across Finance, Sales, and Sourcing and Procurement.
  • Operational ERP adds the lines of business needed to make products: idea to market (R&D and engineering) and plan to fulfill (manufacturing, asset management, and warehouse and transportation management in Supply Chain), together with procure to pay and order to cash. Process manufacturing combines ingredients that cannot be separated again; discrete manufacturing assembles parts that can be.

Industry solutions are grouped into six sectors: energy and natural resources, financial services, consumer industries, discrete industries, service industries, and public services. Only the core processes of each line of business are predelivered in SAP Signavio Process Navigator, so industry customers usually add further solutions.

Transition Paths

PathDefinitionExample
New implementationNew installation (greenfield); semi-greenfield when an existing SAP customer starts newStart fresh with SAP Best Practices
System conversionGuided 1:1 technical conversion of an existing SAP ERP systemSAP ECC to SAP S/4HANA Cloud Private Edition
Selective data transitionTool-based transfer of selected configuration, master data, and transaction dataConsolidate several ERP systems
Lift and shiftMove an entire system unchanged to a new landscape, typically with a system copySAP S/4HANA 2023 on premise to Private Edition 2023
UpgradeMove to a new base release2022 to 2023
UpdateApply a Feature Pack Stack or Support Pack StackFPS or SPS

An SAP analysis of about 10,000 SAP S/4HANA projects over three years found 50% new implementations, 48% system conversions, and 2% selective data transitions. Corporate strategy, the degree of planned business transformation, the existing landscape, the need to keep historical data, and organizational readiness drove the decision; the stronger the sponsorship, the more likely a greenfield redesign was.

What Each Path Involves

  • New implementation: SAP provisions the system. SAP Best Practices content is activated (SAP activates one country version; the team activates further ones), or the Enterprise Management Layer is installed for multinational companies (43 country versions, successor of the SAP Model Company for Multinational Corporations); partners may add qualified partner-packaged solutions. Then the system is configured, and the initial data load with the SAP S/4HANA Migration Cockpit brings in master data and open items such as balances and open sales orders. Completed, closed, and partially closed transactional data is not migrated, so archiving inactive records and removing duplicates beforehand is recommended.
  • System conversion: prepare the ERP system (clean up custom code, reduce data volumes), migrate the database to SAP HANA, update the software, convert the data to the new data model, and configure the mandatory changes (simplification items). The Software Update Manager (SUM) performs these steps using a shadow repository; its Database Migration Option (DMO) combines database migration, software update, and data conversion in one step, and DMO with System Move also supports a move to a new data center (only for AS ABAP systems). The one-step conversion from SAP ERP is recommended; a two-step path means two projects, more downtime, and more cost.
  • Selective data transition: either a shell conversion (a copy of production without master and transaction data is converted; best when most processes are reused) or mix and match (a new installation plus selected configuration and repository objects; best when most of the solution is redesigned). Open items and a time slice of history can be moved. SAP does not certify third-party tools or services used here, and issues they cause are not covered by SAP Support.
  • Lift and shift: check the prerequisites, provision the target system, and back up and restore the system with Software Provisioning Manager.

The Implementation Team

RoleResponsibility
Executive sponsors (customer and partner)Form the steering committee: critical decisions, budget, staffing, last level of escalation
Customer system administrator (IT Contact)Provisions systems and grants access; if nobody is named, the contract signer holds the IT Contact role
Project managers (customer and partner)Set up the project in SAP Cloud ALM, assign tasks, and report status
Lead configuration expert (new implementation) or lead conversion expert (conversion)Content activation and initial setup, or the technical conversion
Partner line-of-business (LoB) configuration expertsAt least one, ideally two, per line of business; run fit-to-standard workshops, document requirements in SAP Cloud ALM, and configure in the Realize phase
Customer LoB expertsJoin the fit-to-standard workshops and perform user acceptance testing (UAT)
Change management teamCommunication, training, and adoption

UAT is mandatory before the project can move into the Deploy phase. Technical experts for integration, side-by-side extensions on SAP BTP, and data migration join as needed.

The RISE with SAP Methodology in the Project

The RISE with SAP Methodology adds clean core deliverables to the SAP Activate roadmap (phases Discover, Prepare, Explore, Realize, Deploy, and Run): Clean Core Quality Gates at the end of each phase, Clean Core Reports generated from SAP Cloud ALM, the Clean Core Runbook (inventory of enhancements, governance model, prioritization method, and "keep clean" monitoring), and a RISE Methodology Report on adherence. An SAP Embedded Launch Onboarding Expert explains the clean core strategy, helps provision SAP Cloud ALM, and checks in at each quality gate (section 10.3).
