When an asset is created in group IT_EQUIP, both books appear on it immediately with the group defaults pre-filled. Values can still be overridden per asset, which is how a single laptop with an unusual useful life is handled without creating a new group.

Exam trap: Adding a book to a fixed asset group does not retroactively create that book on assets that already exist in the group. Existing assets need the book added individually or through the Create fixed asset book periodic task.

Status is held per book, not per asset. An asset can be fully depreciated and Closed in the tax book while still Open and depreciating in the corporate book — which is exactly why depreciation proposals are always run for a named book.

6. Creating Assets from Procurement

Fixed assets parameters > Purchase orders governs whether the procurement process creates assets for you:

  • Allow asset acquisition from Purchasing — must be Yes before a purchase order line can acquire an asset.
  • Create asset during product receipt or invoice posting — decides when the asset record springs into existence.
  • Restrict asset acquisition posting to user group — limits who may trigger the acquisition.
