7.5 Cash Flow Forecasting Setup & Automation

Key Takeaways

  • Cash flow forecasting aggregates projected inflows and outflows from sales orders, purchase orders, open AR and AP transactions, budgets, and ledger accounts.
  • Each main account must be flagged for cash flow forecasting and mapped to a liquidity account before it contributes to the forecast.
  • Cash flow forecasting setup exists per module — Accounts receivable, Accounts payable, Budget, and Inventory management each have their own parameters.
  • Customer payment predictions in Finance Insights use a trained model to estimate when an invoice will actually be paid, refining the rule-based forecast.

7.5 Cash Flow Forecasting Setup & Automation

Quick Summary: Corporate liquidity management requires precise visibility into future cash inflows and outflows, as well as mechanisms to optimize working capital. Cash Flow Forecasting in Microsoft Dynamics 365 Finance combines operational data across the General Ledger, Accounts Receivable, Accounts Payable, Sales Orders, and Purchase Orders to model liquidity horizons. Powered by Process Automation and Finance Insights AI Customer Payment Predictions, treasury teams anticipate cash crunches before they occur. Furthermore, the Customer and Vendor Netting framework allows organizations trading with dual-role counterparties to offset open payables against receivables, eliminating unnecessary cash transfers and bank transaction fees.

1. Cash Flow Forecasting Architecture & Source Integration

Cash flow forecasting projects future cash positions by evaluating pending commitments and expected collections across core ERP modules.

Configuring Dependent Cash Flow Accounts

In General Ledger, operational revenue and expense accounts do not physically hold cash. To reflect their cash impact, consultants configure Dependent Cash Flow Accounts (General ledger > Chart of accounts > Accounts > Main accounts > Cash flow tab):

  • When an expense line is posted or budgeted to account 601200 (Office Supplies), D365 evaluates the dependent cash flow setting.
  • The system automatically generates a projected cash outflow on the linked primary liquidity bank account (110110 - Operating Bank) based on assigned payment term days.

2. Cash Flow Process Automation & AI Payment Predictions

To ensure that cash flow forecasts continuously reflect operational changes (e.g., new sales orders created, purchase orders confirmed, invoices paid), Dynamics 365 Finance leverages the Process Automation framework and Finance Insights machine learning models.

Setting Up Cash Flow Process Automation

  1. Navigate to Cash and bank management > Cash flow forecasting > Cash flow forecast setup.
  2. In the Action Pane, click Process automation.
  3. Create a new automation schedule:
    • Schedule name: Daily_CashFlow_Recalc.
    • Execution time: 01:00:00 (Daily).
    • Include sources: Check General ledger budget, Accounts receivable, Accounts payable, Sales orders, and Purchase orders.
  4. Click Finish. The background batch service executes incremental forecast refreshes automatically.

Finance Insights: Customer Payment Predictions

Traditional forecasting relies on the invoice Due date to project AR collections. However, customers frequently pay late. With Finance Insights / Customer Payment Predictions activated via Power Platform AI Builder:

  • Machine learning models classify open AR invoices into three risk buckets: On-time, Late, and Very late.
  • The cash flow calculation engine dynamically shifts expected cash collection dates to the predicted payment date, drastically reducing forecast error.

3. Making a Main Account Visible to the Forecast

A main account contributes nothing to the cash flow forecast until it is explicitly enabled. On Cash and bank management > Setup > Cash flow forecasting setup, each relevant main account is flagged for cash flow forecasting and pointed at a liquidity account — the bank or cash account the movement is expected to hit.

Setup areaWhat it configures
General ledgerWhich main accounts forecast, and their liquidity accounts
Accounts receivableHow many days after the due date customers actually pay, and the AR liquidity account
Accounts payableExpected payment lag on vendor invoices, and the AP liquidity account
BudgetWhich budget model feeds the forecast, and over what horizon
Inventory managementHow purchase and sales order lines translate into expected cash

The most common implementation failure is an incomplete general ledger setup: the forecast runs, produces a number, and quietly omits whole categories of cash movement because those accounts were never flagged.

4. Which Documents Feed the Forecast

SourceContributesTiming basis
Open customer invoicesInflowDue date plus the configured AR delay
Open vendor invoicesOutflowDue date plus the configured AP delay
Confirmed purchase orders not yet invoicedOutflowExpected receipt date plus lead time
Confirmed sales orders not yet invoicedInflowExpected ship date plus terms
Budget register entriesBothBudget period
Ledger balances on forecast-enabled accountsBothPosting date

This is why an approved but uninvoiced purchase order still appears as a projected outflow: the forecast deliberately looks past posted transactions into committed but unposted documents.

5. Running and Refreshing the Forecast

Forecast data is calculated and stored, not computed live on every page open. The Calculate cash flow forecasts periodic process, normally scheduled as a nightly batch, refreshes the stored projection. A stale forecast that "ignores yesterday's orders" is almost always an unscheduled or failed batch rather than a setup error.

Results surface through the Cash overview workspace and the cash flow forecast inquiries, where the projection can be sliced by legal entity, bank account, and currency, and viewed in either the accounting currency or a chosen reporting currency.

Exam trap: Cash flow forecasting is a projection, not a subledger. It posts nothing, changes no balances, and does not reserve funds. Anything in a scenario about blocking a transaction for lack of money is budget control, not cash flow forecasting.
