Guest card and CRM record

A guest card is a lead and service record, not an invitation to collect everything about a person. Capture fields needed for the transaction and measurement, such as name or preferred contact identifier, approved contact method, inquiry date and source, desired move date, unit or accessibility features requested, quoted availability and terms, tour status, follow-up, and disposition. Mark which information is prospect-supplied and which is staff-entered.

Lawful pre-qualification

When a prospect voluntarily requests an accessible feature or accommodation, route the request through the accommodation process. Income questions and documentation must follow written criteria and applicable source-of-income law.

Accurate availability and quoted terms

Quote only current, authorized information. Identify the exact unit or floor plan, lease term, move-in window, rent, mandatory charges, deposit or conditional terms if known, concession qualifications, and expiration of the quote. Do not create false scarcity. If several complete applicants may seek the same unit, explain the published order and reservation rules.

Use the same availability sources and process for comparable prospects. Consistency does not forbid lawful accommodations or program requirements; it means the reason for a different step is recognized, approved, and documented.

Funnel measures

Define each stage before calculating:

  • inquiry-to-scheduled-tour rate = scheduled tours divided by valid inquiries;
  • show rate = completed tours divided by scheduled tours;
