The CHAA process has two deadlines, three testing methods, and one documentation risk
The NAHAM Certified Healthcare Access Associate application is not complete when you create an account or begin a form. To test in 2026, you must meet the current eligibility rules, submit and pay by the application deadline, choose a valid proctoring method, and then schedule or coordinate an appointment inside the assigned month.
As of July 21, 2026, the next open opportunity is the October 2026 testing window. Its application period runs from June 1 through August 31. The current NAHAM CHAA certification page publishes four windows every year:
| Testing month | Application period |
|---|---|
| January | September 1 through November 30 of the prior year |
| April | December 1 through the last day of February |
| July | March 1 through May 31 |
| October | June 1 through August 31 |
Each testing window remains open for the entire named month. An application deadline is not the day you take the exam, and an unfinished form does not reserve a seat. NAHAM warns that an application left In Process after the deadline cannot be used to sit for that window.
Use the current eligibility rules, not an older PDF summary
NAHAM states that CHAA and CHAM eligibility requirements changed on June 2, 2025. Some older official guides and pages still describe a high-school-plus-30-contact-hour education route. For a 2026 application, the current CHAA certification page and current NAHAM certification comparison are the better source of truth. If Certification Central asks for something different, pause and obtain written clarification from NAHAM rather than forcing an old rule into a current form.
The live CHAA requirements have three gates:
- Professional experience or college route: one year in the healthcare or finance industry, or successful completion of an accredited two- or four-year college program in healthcare.
- Professional development support: a letter of support from a supervisor, or certificates documenting 10 professional development contact hours within the previous 12 months.
- Reference: one signature from a supervisor or course instructor/advisor.
Membership is voluntary; it is not an eligibility gate. A non-member can create a Non-Member/Online Profile Only account and apply in Certification Central. Likewise, passing CHAA does not automatically make the certificant a NAHAM member.
Build an audit-ready evidence file before submitting
NAHAM says it randomly audits 10% of applicants in each certification period. An audit is not the time to start finding an old job description or transcript. Assemble evidence that matches the route you claim:
| Eligibility claim | Current NAHAM examples of acceptable evidence |
|---|---|
| One year of healthcare or finance work | Current or past employer contact information plus a résumé or employer-provided job description |
| Completed accredited healthcare college program | Completion certificate or transcript identifying the two- or four-year program |
| Supervisor support | Signed support letter |
| Ten recent development hours | Completion certificates showing 10 hours within the last 12 months |
| Reference | Supervisor or course instructor/advisor information and signature requested in the application |
If selected, the candidate does not receive test material until the audit evidence is uploaded and the application is submitted. NAHAM states that failure to meet the requested audit date excludes the candidate from that period without an application-fee refund. Save clear copies before clicking submit, and tell the employer or advisor whose contact information you provide that NAHAM may contact them.
A 2026 application sequence that protects the testing window
Complete the process in this order:
- Create or sign into the correct NAHAM profile and enter Certification Central.
- Select CHAA, not the management-level CHAM application.
- Confirm the testing month and its application closing date.
- Select the experience or college eligibility route that you can document.
- Enter the supervisor or instructor/advisor reference information.
- Choose the supervisor letter or 10-hour professional-development route.
- Select one of the three proctoring methods and provide any required proctor information.
- Review names, contact details, dates, and uploaded evidence for consistency.
- Pay and move the application out of In Process before the deadline.
- Watch for audit requests, approval messages, and scheduling instructions.
The 2026 CHAA fee is $220 for NAHAM members and $250 for non-members. A candidate may pay by card in Certification Central or select payment by check and submit without immediate payment. However, NAHAM says checks must arrive by the 15th day of the testing month to guarantee the ability to test during that window. Mailing a check does not cure a form that remained In Process past the application deadline.
Certification exam payments are generally non-refundable and non-transferable under the NAHAM refund policy. Do not submit a speculative application simply to hold a place while waiting to confirm eligibility.
Choose among three testing methods before the application closes
NAHAM currently offers three methods: a candidate-identified in-person proctor, a Prometric test center, or Prometric remote proctoring. The right choice depends on evidence, hardware, space, travel, and scheduling risk.
| Method | Who supplies the proctor | Best fit | Main risk to clear early |
|---|---|---|---|
| Candidate-identified in person | Candidate identifies a qualified healthcare manager | Employer or school can provide an approved setting and independent manager | Proctor qualification, training, independence, and mutually available date |
| Prometric test center | Prometric | Candidate wants standardized equipment and no home-technology burden | Travel and appointment availability during the assigned month |
| Prometric remote | Prometric through ProProctor | Candidate has a private space and compatible personal computer | System, network, workspace, ID, and corporate-device restrictions |
The current NAHAM proctoring-options page explains that a candidate-identified proctor must work in healthcare, hold a management role, and not directly supervise the candidate. NAHAM's application also says the supervisor or instructor/advisor used as the CHAA reference cannot be the same person as the candidate-identified proctor. Current candidate-identified proctors must complete NAHAM's updated proctor training and quiz.
Test-center and remote candidates do not identify their own proctor. NAHAM sends a Notice to Schedule before the testing window begins, and the candidate uses it to choose an available Prometric appointment. Applying to NAHAM and scheduling with Prometric are separate actions; an approved application is not itself an appointment.
Remote is available, but a work laptop is not acceptable
The current NAHAM Prometric page confirms remote testing through ProProctor. Remote candidates supply a personal computer with camera, microphone, internet access, and permission to install the application. NAHAM specifically says a corporate computer may not be used.
Before choosing remote, run the ProProctor system check on the exact computer and network you will use. On exam day, use the same workspace, clear the desk and surrounding area, have the confirmation number ready, and present a legible government-issued photo ID such as a driver's licence, passport, military ID, or state ID. Prometric tells candidates to launch 15 to 30 minutes before the appointment to complete the system and pre-flight checks.
A remote appointment trades travel risk for technology and room-compliance risk. A test center trades those risks for travel and availability. A candidate-identified proctor can be convenient at work, but only when the proctor is independent and all NAHAM training and scheduling steps are complete.
Switching methods and deferring windows are different transactions
A proctoring-option change keeps the same testing window but changes how the exam is delivered. NAHAM charges $50 to switch the testing option after the application window has closed. The proctor or supervisor cannot make this change for the candidate; contact NAHAM.
A deferral changes the testing window. The current CHAA page says the candidate must request the deferral inside the application before the current testing window ends and pay a $50 CHAA deferral fee. The new window must be less than one year away, and a candidate may defer only once before a completely new application is required. January to April is an allowed example; January to the next January is not.
NAHAM limits refund or rescheduling exceptions to personal illness, natural disaster, or death in the family during the assigned window, with written contact during that window. Other situations follow the deferral policy. Do not wait until after the month closes to explain a conflict that was known earlier.
Confirm the exam facts after the application is secure
CHAA is a 115-question, two-hour, proctored multiple-choice exam. The official CHAA examination content outline was updated in December 2023 and applies five domains:
| Domain | Weight |
|---|---|
| Patient Access Foundations | 25% |
| Customer Experience | 19% |
| Pre-arrival | 21% |
| Arrival | 19% |
| Revenue Cycle | 16% |
Be careful with third-party 2026 pages that still advertise a three-domain 44%/31%/25% blueprint. That is not the current five-domain NAHAM outline. Application accuracy and content-outline accuracy are connected: use the paid application period to obtain the current official study guide, then map preparation to all five domains. NAHAM says a digital CHAA study guide download becomes available at no added charge within the submitted and paid exam application.
A passing score is scaled, not a raw percentage
The current NAHAM certification FAQ says exam results use a scaled-score method and 600 is the minimum passing score. A scaled score should not be converted into a claim that 60% of 115 questions is sufficient. NAHAM does not publish individual missed questions, although candidates receive a percentage breakdown of performance by section.
The NAHAM after-exam page describes three result stages:
- Immediate preliminary result: pass/fail status, scaled score, and a brief note appear on screen when the exam ends. This is not the official report.
- Certification Central update: NAHAM uploads final scores during the first week after the testing month ends, after receiving the final file from the testing vendor. Passing candidates can print an initial certificate.
- Mailed pass packet: NAHAM says the final score report and pass materials are mailed within three to five weeks after the testing window closes.
An older candidate-guide PDF says official results may take up to eight weeks, and the special October 2024 launch used delayed standard setting. Those older statements do not override the current after-exam page for a routine 2026 window. The preliminary result is useful for planning, but use Certification Central as the final-status checkpoint.
If you do not pass: protect the immediate-next-window discount
A candidate may take CHAA only once in a testing window. After an unsuccessful initial attempt, the current rule requires waiting for the immediate next window. The CHAA discounted retake fee is $100, not the $60 shown in an older candidate guide.
The discount is conditional. NAHAM offers it for the immediate subsequent testing window when the most recent attempt was paid at the full exam price. If a second attempt used the discounted price and is unsuccessful, the third attempt requires the full price before another subsequent discount can apply. Certification Central should create the retake option automatically when eligible, but the candidate still must complete payment before the next window's application deadline.
That means a July candidate who does not pass should act during the October application period rather than waiting until October begins. A same-window repeat is not permitted, and skipping the immediate next window forfeits the described discounted-retake opportunity. Use the section percentages from the score report to create a focused remediation plan before reapplying.
The 2026 CHAA no-surprise checklist
Before submitting:
- Use the post-June-2025 eligibility rules.
- Pick either the one-year experience route or completed accredited healthcare-program route.
- Obtain a supervisor support letter or document 10 hours within the last 12 months.
- Secure the required supervisor or instructor/advisor reference signature.
- Prepare audit evidence for every claim.
- Choose candidate-identified, Prometric center, or Prometric remote delivery.
- Confirm that an employer reference is not also serving as the candidate-identified proctor.
- Submit and pay by the application deadline.
Before testing:
- Confirm the Notice to Schedule and actual appointment or candidate-proctor date.
- For remote delivery, use a compatible personal computer, not a corporate device.
- Complete the system check and verify the government-ID name and validity.
- Study the current five-domain outline and practise within the two-hour limit.
After testing:
- Save the preliminary scaled score, but wait for final Certification Central status.
- If passing, verify the initial certificate and mailing address for the pass packet.
- If not passing, apply for the immediate next window and confirm whether the $100 retake option appears.
The strongest CHAA plan does not begin with a test date. It begins with a defensible eligibility route, a completed application, and a delivery method that can actually work during the assigned month. Once those administrative risks are controlled, the remaining task is clear: prepare against the five current domains and earn a scaled score of at least 600.
