The HSPA Certification Handbook revised January 2026 controls the detailed policies. HSPA also warns that application requirements can change, so open the live CRCST certification page before submitting rather than reusing a saved form from a school or an old forum post.

Step 1: choose full or provisional before opening the application

Both routes lead to the same CRCST exam and both ultimately require 400 documented hands-on hours. The choice is about when HSPA receives those hours.

  • Choose full CRCST if you can document the required hours from the previous five years on the application. An authorized manager, supervisor, lead, or hospital-based educator who is above you and witnessed the work must complete the applicable experience section.
  • Choose provisional CRCST if you will test before completing the hours. If you pass, you must submit all 400 hours within six months or forfeit provisional certification and reapply for the exam.

Do not select provisional merely because it makes the application feel faster. First confirm that you have a realistic paid or volunteer Sterile Processing department placement and someone authorized to verify the work. HSPA membership and a paid training course are not prerequisites for the CRCST exam. A course can prepare you, but it does not replace the exam or the hands-on requirement.

Step 2: complete this zero-return checklist before paying

Most avoidable application trouble comes from identity, documentation, or timing—not from the exam blueprint. Check each item before clicking submit.

Identity and contact details

Use the first and last name that appears on the physical identification you will bring to Prometric. HSPA says that name must match the scheduling notice and test-day ID exactly. Middle names are not the main issue; inconsistent first names, last names, hyphens, suffixes, or misspellings are. If your name changes or the approval notice contains an error, contact HSPA before scheduling because the test center cannot repair HSPA records.

Use an email address you monitor and a current mailing address and phone number. Approval, verification requests, and scheduling instructions are time-sensitive. Add HSPA email domains to your safe-sender list, then check spam while the application is pending.

Experience documentation

For a full application, confirm that the signer is eligible, all five required work areas are represented, and the supervisor's professional contact information is current. HSPA may verify the experience. A self-signed log, course certificate, or letter that does not follow the application process is not a substitute for the experience section HSPA requests.

For provisional status, make sure you intentionally selected the provisional path and saved the six-month rule in your calendar. Do not submit full-certification claims based on hours that are incomplete or cannot be verified.

Testing accommodations

Request disability accommodations in writing when you apply, using HSPA's current form and documentation instructions. HSPA decides whether an accommodation is approved; Prometric implements approved arrangements. The official Prometric HSPA page tells candidates to obtain HSPA approval before scheduling, so booking a standard seat first can complicate the process.

Fee and refund reality

The initial application is $140 and includes application processing plus one in-person Prometric attempt. Of that amount, $25 is nonrefundable when an otherwise eligible refund is issued. HSPA's live CRCST page ties refund requests to 30 days after payment; the January 2026 handbook also says a request must occur before an exam appointment is made. The conservative rule is simple: if you need to withdraw, contact HSPA promptly within 30 days of payment and before booking anything.

Step 3: submit through the current HSPA route

Start from HSPA's Become Certified page or the CRCST page, not a third-party registration button. Online application is the standard route. HSPA announced that after August 15, 2025, paper applications would be accepted only for candidates paying by check or money order; anyone using an older paper copy should confirm the current restriction before mailing it.

Save the confirmation, payment receipt, and a copy of everything submitted. Record the submission date and calculate a follow-up point four weeks later. Three to four weeks is HSPA's normal processing estimate, not a guaranteed approval date. Verification or missing information can lengthen the process.

If HSPA contacts you or your supervisor for more information, answer the exact request and preserve the response. The handbook gives an applicant 120 days to provide requested verification information. Missing that separate response deadline cancels the application and forfeits the exam fee, requiring a new application and payment.

Step 4: turn HSPA approval into a protected Prometric appointment

Approval is not an appointment. HSPA emails the scheduling instructions and eligibility information; then you schedule directly with Prometric online or by phone. HSPA cannot choose a date for you.

Use the Prometric HSPA portal to locate centers before approval, but expect to need the HSPA Eligibility ID to complete the reservation. Compare several centers and dates if your preferred site is full. HSPA exams are offered throughout the year, yet individual seats are first come, first served.

Book early. The handbook allows appointments at least 48 hours in advance but recommends scheduling at least 45 days before the eligibility expiration. Those are different rules: 48 hours is the minimum lead time for a desired appointment, while 45 days is the risk-control buffer HSPA recommends. Waiting until day 110 can leave no local seat before day 120, and HSPA says it does not extend the eligibility window for that problem.

Before confirming, verify all five fields:

  1. CRCST is the selected examination.
  2. The date occurs before the eligibility expiration, not merely the booking date.
  3. The first and last names match your physical ID.
  4. The address is the intended Prometric test center.
  5. The time zone and arrival time are understood.

Save the Prometric confirmation number and email. If no confirmation arrives, do not assume the appointment exists; verify it in Prometric's system.

Step 5: reschedule without destroying the eligibility window

An HSPA appointment must be rescheduled no later than noon Eastern Time three business days before the test date. Prometric handles the change, and any rescheduling fee is paid to Prometric. Weekends make the calculation less intuitive: the HSPA handbook's example says a Saturday, Sunday, or Monday appointment cannot be rescheduled after noon Eastern on Wednesday.

A reschedule does not create a new 120-day window. The replacement appointment still has to fit inside the original eligibility. Use Prometric's reschedule function, retain the new confirmation, and verify that the old appointment no longer appears. A cancellation, late arrival, unacceptable ID, or no-show can forfeit the application and $140 fee.

For test day, arrive at least 30 minutes early and bring one current, physical ID displaying your photo, signature, valid expiration date, and the exact registered first and last names. Digital copies, expired identification, or a name mismatch can prevent testing.

If you fail: submit the retake while the diagnostic is useful

A failed attempt does not reactivate the old application. HSPA requires a new retake application and another $140 fee. You may submit the retake application immediately, but the new eligibility period cannot begin until at least six weeks after the previous exam date.

Do not wait six weeks to begin the paperwork or the review. Submit when ready, confirm the new eligibility dates, and treat the next scheduling email as a new 120-day project.

After you pass: close the right pathway

A full applicant who passes has completed the core exam-and-experience path. A provisional candidate has passed the exam but still owes HSPA the 400-hour documentation within six months. Put the provisional expiration date, an internal supervisor-review date, and a submission date on the calendar immediately. HSPA allows a one-time two-month extension only for certain candidates already working or volunteering in an SPD, with a supervisor request made before expiration; it is not an automatic extension.

Whether full or provisional, save the certification notice and verify that your HSPA profile shows the correct effective and expiration dates. Those dates control the annual renewal cycle.

Build renewal into month one, not month eleven

CRCST is renewed every year by the last day of the anniversary month, not automatically on December 31. The current HSPA CRCST renewal page requires 12 technical, sterile-processing-relevant CE credits plus a $50 annual fee. The fee covers all HSPA certifications held, although additional credentials can require additional CE.

CE must fall within your renewal year, and excess credits do not roll into the next cycle. A simple low-risk rhythm is one CE credit per month, with certificate fields checked as you go: provider, title, your name, completion date, and CE amount. HSPA offerings may post automatically; third-party certificates should be saved in a dedicated folder and uploaded well before expiration.

Use this annual mini-checklist:

  • Month 1: confirm the anniversary month and create reminders 90, 60, and 30 days before expiration.
  • Monthly: earn or verify at least one relevant technical CE and save proof.
  • 60 days before: total the accepted credits and replace any incomplete certificate.
  • 30 days before: upload all 12 credits, complete the renewal statement, and pay $50.
  • After submission: monitor the HSPA account until status and the printable certificate are updated.

The six-week grace period is not free extra renewal time. If required CE and fees are missing at expiration, HSPA says certification is suspended and you are considered non-certified during the grace period. Completing everything within six weeks can reinstate it; missing that window ends renewal eligibility and requires testing again.

Final CRCST application checklist

Before submitting: choose full or provisional, use a name that matches ID, verify the signer and hours if full, request accommodations with HSPA, use the current application, and save the $140 receipt. After submitting: allow three to four weeks, answer verification requests, and monitor email. After approval: schedule Prometric early inside the 120-day window, save the confirmation, and protect the three-business-day reschedule cutoff. After testing: use a six-week retake plan if needed, close provisional hours within six months, and begin collecting the 12 annual CE credits immediately.

That is the whole administrative path. Keep the clocks separate, and none of them should be surprising.
